What does the Joy Service offer?

My wedding is overseas – Can you still help?

Yes! Joy can source hotels both in the U.S. and internationally.


How long does all of this take?

The room block process typically takes 12 weeks to get rates, with the entire process, including confirmations, taking a few weeks depending on your responsiveness and hotel availability.


Can I contact the hotel myself?

Yes, But… It’s recommended to let Joy handle communications to ensure you get the best rates and terms.

If you contact a hotel before using Joy Room Blocks, we will not be able to help with the booking process.

If you contact the hotel after a room block is selected through Joy, you are totally allowed to contact the hotel directly with any questions you have! After we help you contract with the hotel, we encourage you to reach out to the hotel directly!


Why isn’t my hotel listed, and can you contact them?

If your preferred hotel isn’t listed, Joy can often reach out to them directly to negotiate a block.

Room Block Process & Management


What is the timeline for the entire process?

  • Complete Form Submission: Start by filling out the form with details about your wedding, including the venue, date, and estimated number of guests.

  • Joy Team Submits to Hotel Partners: Joy’s team will reach out to hotel partners based on your preferences.

  • 1-2 Weeks to Get Rates: It typically takes 1-2 weeks for Joy to receive room block rates from hotels.

  • Rates Valid for 1 Week: Once you receive the rates, they are usually valid for one week.

  • Confirm Hotel Selection: Choose your preferred hotel(s) and confirm the room block.

  • Hotel Block All Set: Your hotel block is now ready! Add the details to your wedding website and encourage your guests to book rooms.


Why do I need a room block?

  • Guest Convenience: Ensures your guests are close to the wedding venue.

  • Discounted Rates: Secures lower room rates for your guests.

  • Coordinated Stays: Simplifies logistics by having guests in one location, aiding transportation and creating a communal experience.


How many rooms should I book?

Estimate the number of out-of-town guests and plan to book rooms for about 30% of them. For instance, if you expect 50 out-of-town guests, consider booking 15-20 rooms.


Am I guaranteed a room block?


Room blocks depend on hotel availability, so they’re not guaranteed. We recommend starting the room block process as early as possible! You’ll need your check-in and check-out dates and venue address locked in to get a quote.


Do I need to have my venue booked before reserving a room block?

Yes, a confirmed venue location is required to secure a room block.


Can I change the dates?

Most hotels allow date changes depending on availability, but it’s best to request them as early as possible. Consult your concierge to manage these adjustments.


How do I cancel my block?

Cancellation policies vary by hotel and block type. Your concierge will guide you through the cancellation process and any associated implications.


Can I split my room block between multiple hotels?

Yes, you can split your room block across multiple hotels, which can be beneficial for accommodating guests with different budget needs.

We can assist in booking a honeymoon suite as part of your room block reservation.


How do I arrange for a shuttle?

Joy can help coordinate shuttle services if needed! If you're interested in shuttle services, head to https://withjoy.com/biz/ground-transportation.


Do you handle event spaces?

While Joy focuses on room blocks, we can also assist with or advise on event space bookings. If you're interested in reserving an event space, please reach out to us at travelconcierge@withjoy.com.


Can I earn reward points?

Both you and your guests can often earn reward points for reservations within the block. Ensure your loyalty program details are provided when booking.

Glossary of Terms


Courtesy Block


A block of rooms the hotel sets aside for your guests without requiring a financial commitment from you. It allows guests to access special rates or rooms, though availability isn't guaranteed if the hotel becomes fully booked.


Attrition

The percentage of reserved rooms you are obligated to fill. If you don’t meet this percentage, you may be charged for the difference. Negotiating the attrition rate upfront can help avoid unexpected costs.


Cutoff Date

The deadline by which your guests need to book their rooms to get the special rates or availability. After this date, remaining rooms in the block may be released, and guests might not get the discounted rate.
