Contact Collector - A Step-by-Step Guide

Personalize a custom address collection form in minutes and easily share it with friends and family. Their emails, addresses, and phone numbers will save automatically to your Joy guest list, where you can use them to send invitations, track RSVPs, and share important updates about your event. Collecting contact information has never been easier for you or your guests.

How to Collect Contact Information for Your Guest List

First, visit your admin dashboard and click the “Contact Collector” icon. If you’ve not created a Joy account yet, sign up here.

Step 1: Customize Your Contact Collector Form

Each event receives a unique Contact Collector link to send the form submissions directly to your guest list.

Personalize your link in the following ways:

  • Set a visual - choose from one of our beautiful animations or upload your own photo. Whatever you choose will be shown in the link preview and the form.

  • Write a brief note - Update the message to your voice. We recommend informing guests that you are sharing the link to collect their contact information for your event.

  • Link to Event Website - Ready to share more details about your event? We’ll include a link to your Joy event website once your guests have submitted their information. Not ready yet? No problem, turn that toggle off.

  • Display Event Date - If you know the date of your event, you can include it on your Contact Collector form. Not sure yet? Just switch it off, and we won’t show a date.

Once you’re happy with your design, click “Create Magic Link” to move to the next step.

Step 2: Preview and Share

Click “Preview as Guest” to see your form just as your guests will. You can even submit a response and see the information populate in your guest list.

When you’re ready to share, simply click “Copy Link” and send it out to your guests however you usually communicate with them. Here are some ideas to get you started:

  • Text message

  • iMessage

  • WhatsApp

  • Facebook Messenger

  • Instagram

  • Snapchat

  • Email

  • Include the link in a digital Save the Date or engagement announcement

  • You can even fill out the form together when you see your guests in person

Step 3: Guests Fill Out a Simple Form

Once guests click your magic link, they’ll be taken to a simple form that takes only minutes to complete. We’ll double-check their address to make sure it’s valid before asking them to confirm and submit, so none of your invitations go missing in the mail.

Your guests' privacy is important. Joy will never contact your guests without their permission or share data with a third party. Your guest data is yours alone.

Step 4: View Responses

View incoming responses on your Contact Collector page or in your guest list.

If you are starting with an empty guest list…

Let the Contact Collector do all the work for you. Delete any existing guests in your guest list, and each time someone fills out your Contact Collector form, a new row will appear in your guest list.

If you already have guests added to your guest list…

If your guest list includes everyone’s emails, you can use Joy to send out an email to your guests that includes your Contact Collector link.

If you don’t have emails for all of your guests, don’t worry. Simply share the Contact Collector magic link however you typically communicate.

When a guest submits the Contact Collector form, a new row will be created in your guest list. To combine the existing row with the new contact collector row, simply select both rows and click “Merge Duplicate.” This will save both the old and new data into one guest. When selecting the rows, whichever row you click first will take priority if both have data in the same column.

Updating Contact Info

Did someone’s address or contact info change? There are two ways to update your guest list:

1.) The guest can resubmit the Contact Collector form anytime. You will simply need to merge the new row with the existing row in the guest list.

2.) Any Joy admin can go into the guest list and click that guest’s avatar to view the Guest Details screen. Once there, you can update the guest’s name, email, phone number, and address.

FAQ

What if a guest needs to update their address?

No problem! There are two ways to update your guest list:

To merge this new row with any existing duplicate, select both rows and click “Merge Duplicate.” This action combines the old and new data into a single guest entry.
