Still have questions?

The more, the merrier! No matter your guest list size, Joy can handle it.

Yes! It’s easy to add more admins to your account. You can set any guest as an admin for your event.

Yes, you can set any number of plus ones for each guest, from 0 to 20.

Short answer: No need. We know guests might bring someone new or change their mind. You can just assign them a slot to bring a guest.

You don’t need to know a guest’s email address for them to RSVP. But if you want to send ecards to your guests through Joy before they RSVP, you’ll need their email addresses.

No. Creating an account is completely optional, and the prompt only appears after you’ve finished your RSVP.

When estimating your guest count, you can generally expect about 85% of local guests and 55% of out-of-town guests to attend your wedding.

It depends on a few factors. Explore Getting Started With Your Wedding Guest List for more information on how to navigate wedding planning and your guest list preferences.

Joy wedding websites, planning tools, and registry are all free. For online Save the Dates and invitations, you’ll find hundreds of free designs, plus premium paid options too.

Of course! Our friendly support team is here for you 24/7, including weekends, to make sure all your questions are answered. Just drop us an email at support@withjoy.com.

What’s a Wedding Guest List Manager?

A wedding guest list manager is an online tool that replaces the usual spreadsheets, sticky notes, and group chats couples use to keep track of who’s coming to their wedding. It brings together guest names, contact details, RSVPs, meal preferences, mailing addresses, and event roles into one organised system that both partners—and anyone they invite to help—can access and update anytime.

Unlike a basic spreadsheet, a wedding guest list manager is designed for how weddings actually work. Guests arrive in groups—couples, families, whole parties. Some events are invite-only. Plus-ones need to be tracked clearly. RSVPs can change. Addresses might be missing. With a tool made for weddings, you can manage all this easily—no complicated formulas or messy workarounds like with spreadsheets.

Joy's Guest List Manager is free and links directly to your wedding website, invitations, RSVPs, and registry—so all your wedding planning stays in sync, no need to manually enter data across different tools.

Why You Should Use a Wedding Guest List Manager

The guest list is usually one of the first things couples work on, and also one of the last things they confirm. It affects your budget, venue, seating plan, and catering. If you manage it well, you’ll save money and avoid unnecessary stress. But if you don’t, you might end up with all sorts of problems popping up at the worst times.

Here’s what a proper wedding guest list manager can do that spreadsheets just can’t:

Work together in real time. Both you, your partner, parents, and your wedding planner can add or edit guests at the same time—no version clashes or hassle of sending files around.

RSVPs tracked automatically. When guests reply on your wedding website, their status updates straightaway—no need to key in by hand, and you won’t miss any responses.

Group households and parties together. Families, couples, and friends are connected so just one person can RSVP for the whole group, and everyone gets the right name on their invitation.

Set event-specific access. Not every guest is invited to every event. Use tags to decide who can view and RSVP for things like the rehearsal dinner, welcome party, or after-party—no need to juggle separate guest lists.

Your go-to hub for communication. Send save the dates, invitations, reminders, and announcements directly from your guest list. Track who has opened, read, and replied to every message.

All in one place. Guest details, RSVPs, dietary requirements, gift tracking, and addresses—easily managed and accessible from any device.

All You Can Manage with Joy’s Guest List

Joy’s Guest List Manager is built around how wedding planning really happens — not just a list of features, but the things you actually need to do, in the order you’ll do them.

Build Your Guest List

Most couples begin with a messy list of names spread across chats, notes apps, and family conversations. The first step is to gather everyone in one place.

Add guests one by one. Just type their names straight into your guest list from the dashboard. You can fill in details like email, phone, and mailing address now, or update them later when you’re ready.

Import your spreadsheet. If you’ve already started your list in Excel, Google Sheets, or Numbers, just export it as a CSV and upload it to Joy. Our import tool will match your columns to Joy’s fields — names, addresses, tags, party groupings — so you won’t need to key in anything again. See the import guide for formatting tips and to download our template.

Import your existing contacts. Bring in names from your current contact lists so you don’t have to start from scratch.

Use the Contact Collector. Instead of chasing guests for their details one by one, share a single link and let them fill out a simple form with their mailing address, phone number, and email. Their responses save directly to your Joy guest list—no spreadsheet needed, no manual data entry. You can send the Contact Collector link via email or SMS through Joy, or copy and share it however you like. Guests can even add details for their plus-ones in the same form, helping you avoid duplicate entries. See the Contact Collector guide for setup and sharing options.

Merge duplicates. This happens to everyone — you key in “Michael” when adding guests, then he RSVPs as “Mike”. Now you’ve got two entries for the same person. With Joy’s merge tool, you can combine duplicate records into one without losing any RSVP responses, email tracking history, or other data. Learn how to merge duplicates.

Edit guest details. Click any guest to view and update their full profile—contact info, RSVP responses, email history, dietary needs, and notes. Customise which columns appear in your list view to keep the most relevant information front and centre.

Organise Households

Weddings aren’t just about individuals—they’re about families, couples, and groups. With Joy, you can group guests into parties, so everyone in the same household is managed together.

When guests are grouped together, the invitation will address everyone by name (so no more guessing with “and family”), and one person can RSVP for the whole group. This is especially handy for families with young kids who won’t be replying on their own.

You can create parties when adding guests, when importing a spreadsheet (using the Party column), or at any time by selecting guests and clicking “Create Party.” See the full guide to parties and plus-ones.

Manage Plus-Ones

Plus-ones are one of the trickiest parts of any guest list. Some guests have a partner you know. Others get a blank plus-one. Some don’t get one at all. With Joy, you have control over each scenario.

You can assign a named plus-one (the partner’s name appears on the invitation) or a blank plus-one (the invitation says “and guest”, and your guest fills in their partner’s name when they RSVP). Either way, every plus-one is tracked in your list, counted in your headcount, and included in RSVP responses.

With the plus-one column on your guest list, you can quickly spot who gets a plus-one, who doesn’t, and who’s still pending. Find out more about adding plus-ones.

Collect RSVPs

Most weddings have more than one event, and not every guest is invited to everything. Joy’s RSVP system is built to handle multi-event weddings seamlessly.

When your guests visit your wedding website to RSVP, they’ll only see the events they’re invited to — whether it’s the ceremony, reception, welcome party, rehearsal dinner, morning-after brunch, or any other event you’ve added to your schedule. Each RSVP is tracked separately on your guest list, so you can easily see how many people are coming for each event.

You can also set your own RSVP questions—such as dietary restrictions, song requests, or travel plans—and choose which questions appear for each event. To ensure only invited guests can respond, Strict Name Matching lets you restrict RSVPs to people already on your guest list.

All replies go straight into your guest list instantly. No need to check another inbox or update any spreadsheet — your data’s right there whenever you need it.

Track Meal Choices

If your caterer needs to know how many guests want each meal, Joy will help you collect that during RSVP. Just add your meal options as a custom RSVP question (like chicken, fish, vegetarian, vegan, or anything else on your menu), and each guest’s choice will show up on their profile and in your guest list.

When you need to share numbers with your caterer or venue, just export your guest list to a spreadsheet filtered by meal choice. The numbers are always accurate as they come directly from your guests’ responses, not counted manually.

Organise Guests with Tags

Tags let you organise and filter your guest list easily, so you don’t have to create separate lists for every purpose. Think of them as flexible labels you can add to any guest.

Some common ways to use tags:

Priority tiers: Sort your guests into A-list, B-list, or C-list so you can send invites in batches and easily move people up from the waitlist when others can’t make it.

Relationship groups: “Bride’s family”, “Groom’s university friends”, “Work colleagues” — any grouping that helps you sort and filter.

Event access: Tag guests for private events like the rehearsal dinner or after-party. Only those with the right tag will see these events on your schedule and get RSVP prompts for them.

Seating and logistics: Use tags for table assignments, transport groups, or hotel room blocks.

Custom tags: Create any tag you need — emoji tags included. Tag by dietary restriction, wedding party role, or however you organise your guests.

You can assign tags individually, in bulk, or when importing your spreadsheet. Filter your guest list by any tag to instantly see just the guests you need. Learn all about guest tags.

Collect Addresses

You’ll need mailing addresses for physical save the dates, invites, and thank-you cards — but honestly, collecting them is one of the most tedious parts of wedding planning. With Joy’s Contact Collector, you just share one link and your guests can enter their own mailing address, email, and phone number straight into your guest list. No more group chats, no messy spreadsheets — just one link to settle everything for you.

You can key in addresses manually or import them from a spreadsheet. The address column in your guest list keeps everything in one place, and when it’s time to send out physical mail, you can export the list with all the addresses formatted and ready for your stationer or printer.

Send Invites & Messages

Your guest list isn’t just a list — it’s your main hub for keeping in touch. With Joy’s Guest List Manager, you can:

Send digital save the dates and invitations directly to your guests. Select individuals, filter by tag, or send to everyone at once.

Send customised eCards for any occasion—rehearsal dinner invites, day-of updates, or thank-you notes.

Send email announcements and reminders—RSVP deadline reminders, schedule changes, or logistical updates.

Track delivery and engagement — see who’s opened your message, who’s clicked through, and who’s replied. Especially useful for RSVP reminders: filter for guests who haven’t replied yet and send them a gentle nudge.

Since everything is connected, your guest list updates automatically whenever someone responds to an invitation or RSVP. No need to sync between tools or copy and paste across tabs. For a complete walkthrough of every feature, visit the Guest List Management guide.

“Just enjoy the process and launch early – can start collecting addresses and guest numbers straightaway.”
